Who we are

This website, swatinfosystem.com, is operated by SwatTech ERP Private Limited, trading as Swat Info System (“we”, “us”, “our”), 302 Ornate One, Silver Stone, 150 Feet Ring Road, behind Reliance Mall, Rajkot, Gujarat 360005, India.

We are the data fiduciary for the personal data collected through this website, as described under India’s Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000 and its rules.

What we collect

Information you give us

When you use our contact or quote forms, email us or call us, we collect what you choose to share:

• your name, email address and phone number;
• the service you are interested in and the details of your enquiry or project;
• any company or other information you include in your message.

Information collected automatically

• Usage data: pages visited, time on page, referring site, approximate location (city/country), device and browser type, through Google Analytics (see Cookies & analytics).
• Security data: on the contact page, Google reCAPTCHA checks signals such as your IP address, browser information and interaction with the page to tell people from bots.
• Server logs: our web host records standard technical data such as IP address, date/time and the page requested, used for security and troubleshooting.

We do not ask for, and ask you not to send through the website, sensitive information such as financial account details, passwords, health data or government ID numbers.

How we use it

• to reply to your enquiry, prepare a quote and discuss your project;
• to send you an automatic confirmation that we received your message;
• to keep in touch about the services you asked about (you can tell us to stop at any time);
• to understand how the website is used and improve it;
• to protect the website and our forms from spam, abuse and fraud;
• to meet our legal obligations.

We process your data on the basis of the consent you give when you submit a form or contact us, and for the legitimate uses permitted by law. We do not use your data for automated decisions that affect you, and we do not sell or rent it.

Cookies & analytics

We use Google Analytics 4 to measure visits. It sets first-party cookies (such as _ga and _ga_*) that last up to two years and identify your browser pseudonymously; we do not use it to identify you personally. The contact page uses Google reCAPTCHA v3, which is subject to the Google Privacy Policy (opens in a new tab) and Terms of Service (opens in a new tab).

We do not use advertising or cross-site tracking cookies.

Who we share it with

We share personal data only with service providers that help us run this website, under their own privacy and security commitments:

• Google: Google Workspace (email delivery and our mailbox), Google Analytics and reCAPTCHA;
• our hosting provider, which stores the website and its server logs.

We may also disclose information if the law requires it, to protect our rights or users’ safety, or as part of a merger or sale of our business (in which case this policy will continue to apply). Some of these providers process data on servers outside India; where that happens, we rely on the transfers the DPDP Act allows and on the providers’ safeguards.

How long we keep it

We keep enquiry and quote details for as long as we need them to respond and follow up, normally up to 24 months after our last contact with you. If you become a client, we keep the relevant records for the length of our engagement and any period required by tax, accounting or other laws. Analytics data is kept for Google Analytics’ configured retention period, and server logs for a short period for security purposes. After that, data is deleted or anonymised.

Security

The site is served only over HTTPS. Form submissions are validated on our server and delivered over encrypted connections, access to enquiries is limited to staff who need it, and we apply reasonable security practices in line with the IT Act. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affecting your data occurs, we will notify you and the authorities as the law requires.

Your rights

Subject to applicable law, you can:

• ask for a summary of the personal data we hold about you and how we use it;
• ask us to correct, complete or update it;
• ask us to erase it, or withdraw your consent at any time (this does not affect processing already done);
• nominate another person to exercise your rights if you die or become incapacitated;
• raise a grievance with us and, if you are not satisfied with our response, complain to the Data Protection Board of India.

To exercise any of these rights, email info@swatinfosystem.com. We may need to verify your identity, and we aim to respond within 30 days.

Client project data

This policy covers this website. Data that our clients entrust to us while we build, host or support their ERP, CRM, LIMS/QMS or other software is handled under the written agreement and confidentiality terms we sign with that client, and we process it on the client’s instructions.

Children

This website is intended for businesses and is not directed at children under 18. We do not knowingly collect children’s personal data. If you believe a child has sent us personal data, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it last changed, and significant changes will be highlighted on this page.
